Academic Year 2024/25

WINTER SEMESTER

CHECK IN

The official check in date for exchange students is the 20th September 2024. Students can anticipate or postpone their arrival date of maximum one week (prior or after the 20.09.) only after informing the dormitory (email contacts here) in advance. Please cc. the accommodation office (accommodation@kam.cuni.cz). Please, do not expect a reply for such an email.

Should someone need to arrive even later than the 20.09. due to serious reasons (Visa delays, etc.), we strongly recommend to inform the dormitory and their international office coordinator as soon as possible.

Students arriving before the 20.09. should be aware that the room rate until the 20.09. will be higher than stated in the contract (you don't have CU student status until the 20.09., therefore the rates are different).

Please note that it is highly recommended to check in during the working days and the dormitories' office hours. On the 20.09. dormitories may have extended office hours and an English speaking assistant at the reception (more information available in August).

Documents needed for the check in:

  • ID/passport
  • 1x ID photo
  • Accommodation contract
  • Deposit payment receipt

RESERVATION FEE PAYMENT

To secure their CU dormitory reservation, exchange students are required to pay an accommodation reservation fee of 5.900 CZK (2.100 CZK as a refundable deposit plus 3.800 CZK as prepayment of an approx. first month rent).

When their reservation is confirmed, students receive an email from koleje.bounce@kam.cuni.cz with the payment instructions and a link to the online gateway, so that they can pay their deposit via credit card.

In case of any problems, please email accommodation@kam.cuni.cz

HOUSING ASSISTANT AT THE DORMITORIES

A housing assistant is here to help you during your first days at the university dormitories. And also, you can use their assistance in case of a language barrier while communicating with the dorm's receptionist.

Do you need to know where the gym, laundry room, study rooms etc., are? Do you have a technical issue and don't know where to report it? Do you want to change your room/roommate or prolong your accommodation? Contact the assistants through the online form here or at the following email addresses:

DORMITORY FOR VISA STUDENTS

The accommodation contract is one of the mandatory attachments to the application for a study visa in Czechia. Therefore, we automatically arrange an accommodation contract at the university dormitory for successful applicants from visa-seeking countries during the admission process.

The contract in hard copy is part of the Welcome package. Please note that dormitory accommodation is not compulsory for you and you can book any accommodation you choose.

FAQs

MAY I CHOOSE THE DORMITORY? CAN I CHANGE IT?

Charles University has many dormitories, but most are for full-time students. There are only 5 of them reserved for Exchange students -  HostivařVětrníkHvězda, Komenského and 17. Listopadu (Troja).

Students are allocated automatically by the Accommodation Office and therefore can't choose the location independently.

Exchange students will be accommodated in double rooms. Since there is a limited number of single rooms, these are only available to full-time students or, in the case of Erasmus students, to those with special needs – e.g. disabled students, PhD students, etc.

You can ask for a change of room or location only upon your arrival in Prague, directly at the Accommodation Office. They will tell you the possibilities based on the current situation.

HOW MUCH DO I NEED TO PAY TO STAY IN THE UNIVERSITY HALLS OF RESIDENCE?

Once your request for accommodation at Charles University’s halls of residence has been accepted, the applicant will receive information for a deposit payment.

The reservation is subject to the payment of a CZK 2,100 deposit plus a monthly rent of CZK 3,800, i.e. the total amount will be CZK 5,900 (the fee may differ according to a given dormitory).

HOW SHOULD I PAY FOR THE ACCOMMODATION?

1. One-time deposit transfer

To pay the deposit of your booked accommodation, please follow the instructions you received from the Accommodation Office or your IO coordinator.

The student is liable for bank charges for crediting payment from an account held abroad. If the student does not cover these, the accommodation provider will charge these costs to the student’s account.

The Accommodation Voucher you received from us is only valid if the deposit is paid.

2. Regular monthly rent payment

To pay the monthly rent, see all possible options here

WHICH CURRENCY DO I PAY THE ACCOMMODATION DEPOSIT IN?

You pay for the accommodation in Czech crowns (CZK). The reservation fee is paid through a bank transfer from your home country. It does not matter which currency you use in your country, and you state the amount of CZK that needs to be sent, and your bank should be able to process it.

IS THERE ANY POSSIBILITY TO GET A SINGLE ROOM?

Single rooms can be provided only for students with relevant health problems or special needs that have to be confirmed by medical record sent via email no later than 2 months before the start of the semester. In case that there is enough capacity, Ph.D. students might be eligible for single rooms as well.

Erasmus+ and Erasmus International Credit Mobility students - erasmus.incoming@ruk.cuni.cz

Exchange students accepted based on Inter-Faculty/University agreement - studyabroad@fsv.cuni.cz

Exchange students via DAAD, AKTION, CEEPUS, Bilateral Agreements, Free mover programmes - inbound@fsv.cuni.cz

WHAT SHOULD THE MEDICAL PROOF LOOK LIKE?

The medical record has to be written in English and it has to contain the following information: the date of issue, diagnosis and its relation to the single room request, a stamp and a signature of the medical specialist. Handwritten  confirmations are not accepted. Please bear in mind that the capacity of single rooms is extremely low and therefore, not all requests may be met.

WHAT IF I PLAN TO ARRIVE LATER?

The Accommodation Office will hold your dormitory reservation until the end of the week following the date of your acceptance.

Please inform your dormitory in advance (email contacts here) about your postponed arrival, and cc. the accommodation office (accommodation@kam.cuni.cz) and the IO.

IS IT POSSIBLE TO SHORTEN MY ACCOMMODATION AT THE UNIVERSITY HALLS OF RESIDENCE?

Your original contract is valid until the end of the semester. If you wish to shorten the contract, you must follow the Cancellation policy, and you will not pay any fines. The Accommodation Office will provide more detailed information at the accommodation office.

HOW DO I WITHDRAW FROM THE ACCOMMODATION AT THE DORMITORY?

Please follow the Cancellation Policy - all details are here

In summary, you have to hand in a written notice to the accommodation office before the end of the month and then on the 1st of the next month, 30 days notice period starts. If you follow this easy rule, there will be no cancellation fee.
